EXHIBITOR INFORMATION

Welcome to the 2019 VSS Annual Conference: Networking Australia’s Veterinary Industry


The conference will be held at The Pullman Hotel, King Georges Square, Brisbane, QLD from 15th March thru to 17th March 2019.  Pre-conference workshops will be held from 12th – 14th March 2019.

General Information


All exhibitions will be held in the Trade Hall – Grand Windsor Ballroom on level 2. Delegate registration will be held in the Grand Windsor Ballroom Foyer.
 

The Trade Hall will be the networking hub of the conference, giving delegates the opportunity to have direct contact with sponsors at their trade displays.
 

All refreshment breaks will be held in the Trade Hall which includes Morning Tea, Lunch, Afternoon Tea and Happy Hour each day. Exhibition staff will have access to these refreshments.

 

Shipping Materials


If you are sending any materials to The Pullman Hotel prior to the conference, please complete this Delivery Docket which highlights loading dock restrictions, address and opening and close times. One of these labels will need to be attached to each delivery that comes through. Any items to be collected by exhibitors or couriers post event must be packaged up by the exhibitor and attached with a CON note. Couriers will not collect items without CON notes and the hotel cannot be responsible for organising these in the event that it ends up in the wrong location.

Conference Satchel Marketing Materials

We will be preparing 250 satchels for conference and workshop delegates so please provide appropriate quantities of satchel inserts. Please have these delivered by 5th March.

Exhibitor Registration


Please register all exhibitor staff here.

 

Please enter the following Promotional Code VSSEXHIBIT to access the Exhibitor Registration option. Complete all details and Submit. You will receive a confirmation email after completion of registration.

 

All registered exhibitor staff will be provided with a conference name tag/lanyard at the Conference registration desk. Please wear this at all times during the conference.

 

Bump-In


The exhibitor area will be held in the Trade Hall – Grand Windsor Ballroom - on level 2.
 

  • Set-up time in the Trade Hall will begin at 8:00 p.m. on Thursday 14th March.

  • You may also Bump-in on Friday 15th March – the Trade Hall area will be open from 8:30am – 9:30am. Please keep noise to a minimum as the Trade Hall is adjacent to the Conference Lectures. No power tools permitted.

  • Your assigned exhibitor tables will be clearly marked. Please see the final floor plan here

  • If you have shipped items in advance, they will be available from the hotel delivery manager.

  • After setting up, please break down any unwanted boxes and hand them to the Pullman Hotel staff for recycling. Empty boxes may be stored in the exhibition storage area for later use, but please do not leave any materials in storage after the conference.

Exhibit Tables

 

  • 1.8m trestle tables and two chairs are provided for each exhibition space. Each table has a table cloth with a skirt to the floor.

  • This link shows the table allocations and layout for the exhibition.

  • There is free public wireless via the Pullman Hotel network. Details will be provided on the first morning of the conference.

  • There is also a wall outlet near your table. Although the electrical outlet is near your table(s), we do not provide extension cords. Please bring your own extension cord and/or power board if you need one.

 

Please observe the following when setting up your space:
 

  • Only masking tape may be used for application of items to the walls.

  • No pinning of any items to drapes.

  • Nothing may be applied to the ceiling or lights.

  • Plants must not be moved or decorated.

  • The basic room set must stay in place. Moving of chairs or tables is prohibited.

Getting there, Drop-off / Unload / Parking

 

  • The Pullman Hotel is centrally located in King Georges Square, Brisbane.

  • Hotel parking is reserved for guests of the hotel however, there is ample parking available across the road at the King George Square Wilson Car Park.

  • There is also plenty of public transport options with the Brisbane Central Bus Station across the road from the Pullman Hotel and train stations (Roma and Central) both within 500m of the Pullman Hotel. 

  • Short term drop off at the front of reception is allowed subject to space availability. You are not permitted to park longer than 5 minutes in this area.

  • Entry via the main reception will provide access to the elevators.

Refreshments


Morning tea, lunch and afternoon tea is provided for all registered delegates and exhibitors. These will all be served in the Trade Hall. Your conference badge will be your lunch ticket.

Bump-Out

 

  • Bump-Out will commence from 3:30pm on Sunday 17th March. The conference will close from 3:00-3:30pm on Sunday 17th March with afternoon tea in the Trade Hall during that period. Please ensure your exhibits remain in place until the conclusion of afternoon tea.

  • If you would like to ship items directly from the Pullman Hotel, please make arrangements directly with hotel staff.

  • Please break down any unwanted boxes and hand them to hotel staff for recycling. PLEASE dispose of all trash and do not leave any materials in the exhibit area or storage room.
